Legal Software Development in the Cayman Islands

Systems that protect privilege, billable hours, and client trust.

In short

Aerosoft builds software for Cayman Islands law firms and in-house legal teams. Matter management, time capture and billing, document and precedent control, and client portals that keep privileged material where it belongs.

  • Matter management and conflict checking
  • Time capture, billing and disbursements
  • Document management with version control
  • Client portals that protect privilege

In a Cayman law firm, the law is the easy part. The admin around it is what costs you billable hours.

Ask a managing partner or practice manager in George Town where the day goes, and very little of it is actual law. It goes to re-keying the same client details into three systems, reconstructing time entries from memory on a Friday afternoon, hunting for the current version of an agreement across email and a shared drive, and running a conflict check by asking whoever has been at the firm longest. The matters are demanding enough. The paperwork around them is what quietly drains the fee earners.

Most firms here run on a patchwork: an accounting package bought for a business that was never a law firm, precedents that live on one assistant’s desktop, billing done in a spreadsheet, and client files that exist in three places at once. It holds together until a client asks for a status update, an auditor asks for the client-account reconciliation, or a partner is off-island and the file is on a machine back in the office. Generic, imported software does not fix this, because it was never built around a matter, a retainer, or the client-money rules a Cayman firm has to follow.

Aerosoft builds legal software the other way round. We start with how your firm actually runs, your practice areas, your matter lifecycle, your billing arrangements, your conflict and intake process, and the confidentiality every file demands. Then we shape the system to fit, hosted and supported from Grand Cayman, so the record a partner opens is current, complete, and only visible to the people who should see it.

What we build

Systems for every part of the firm.

01

Matter & case management

The operational core of the firm. Every matter in one place with its client, responsible fee earner, key dates, documents, correspondence and running time, from a conveyance on a Seven Mile Beach condo to a multi-party commercial dispute. When a matter is opened, conflict checks run against the full client and counterparty history before the retainer is signed, so the firm never acts against its own interest by accident.

02

Secure document & precedent management

One searchable home for every agreement, deed, affidavit and letter, with version control so there is a single current draft instead of six in an email thread. Firm precedents and templates are held centrally, access is scoped by role and by matter, and every open, edit and share is logged. Nothing privileged leaves the system unnoticed, and a file archived in 2019 is found in seconds rather than after an afternoon in a shared drive.

03

Client intake & secure portals

Structured intake captures a new client and matter once, cleanly, and feeds the file directly, including the identification and source-of-funds details Cayman firms are required to collect. A secure client portal replaces unencrypted email attachments: clients upload documents, sign engagement letters, approve drafts and see where their matter stands, across time zones, without a single call to the front desk.

04

Time capture, billing & trust accounting

Time recorded where the work happens, against the matter, in six-minute units, by timer or quick entry, so a Friday no longer means rebuilding the week from memory. Bills draft from recorded time and disbursements, in KYD or USD, with the narrative and rate each client agreed. Client money is tracked separately from firm money with a clean audit trail, so a client-account reconciliation is a report you run, not a weekend you lose.

05

Law-firm websites

A fast, credible website that reads like the firm clients expect to instruct: clear practice areas, real lawyer profiles, and a secure enquiry form that lands in your intake system instead of a shared inbox. Built to be found when someone searches for a Cayman Islands attorney for conveyancing, company formation, trusts or litigation, and hosted and maintained on-island so it stays up and current.

06

Client relationship management (CRM)

A single view of every client, referrer and prospect: who they are, which matters they have run, which partner owns the relationship, and what was last said. Enquiries get followed up instead of forgotten, referral sources from banks, accountants and real-estate agents are tracked, and the firm keeps the relationship even when the partner who built it is on leave or has moved on.

Why legal is different

Software for a law firm is built around confidentiality first.

In most businesses a leaked record is embarrassing. In a law firm it can breach privilege, break a confidentiality obligation and end a client relationship. That difference sets the standard for everything we build.

  • 01
Confidentiality by design. Access is scoped to the matter and the role, privileged material is encrypted in transit and at rest, and ethical walls keep a conflicted team out of a file, from the first line of code rather than bolted on later.
  • 02
Every action is on the record. Who opened a file, who changed it, who shared it and when, all held in an audit trail you can produce for a client, a partner or a regulator without reconstructing it after the fact.
  • 03
Client money is handled with care. Trust and operating funds are kept distinct with a traceable history, so client-account rules are respected and a reconciliation is routine instead of a scramble.
  • 04
Built for how the firm actually works. We design around your practice areas, your matter lifecycle and the exceptions, because a boutique in George Town and a multi-office firm do not run the same way.

What changes when the software finally fits.

When the system is built around the firm instead of imposed on it, the change shows up by the end of the first month. Fee earners stop losing time to admin, because time is captured as the work happens and bills draft themselves from it. Nobody hunts for the current version of a document, because there is only one. Conflict checks take seconds, intake is done once, and the file a partner opens off-island at 9pm is the same file the associate was working in at 5pm.

It also changes what the firm can see. A patchwork of spreadsheets and folders hides the numbers that matter: which matters are profitable, which fee earners are under or over capacity, how much work-in-progress is sitting unbilled, and how long bills take to collect. A connected system puts all of it on one screen, so a managing partner runs the firm on figures instead of instinct.

And it changes how the firm grows. Adding a lawyer, opening a second office, taking on a new practice area or absorbing a wave of conveyancing after a busy property season stops being an IT problem. The system is built to extend, documented so any competent developer can maintain it, and owned outright by the firm, so you are never held hostage by a per-seat licence or a vendor that has lost interest.

Frequently asked questions

What Cayman law firms ask us.

01

What legal software does Aerosoft build for Cayman Islands law firms?

We build matter and case management systems, secure document and precedent management, client intake and secure client portals, time capture, billing and trust-accounting tools, law-firm websites and legal CRM. Everything is built for how a Cayman firm actually works, across corporate and commercial, funds, trusts and private client, conveyancing, litigation and immigration, and it is hosted and supported from Grand Cayman.

02

How do you keep privileged client information confidential?

Confidentiality is the first requirement, not a feature. Access is controlled by role and by matter, privileged data is encrypted in transit and at rest, and ethical walls can lock a conflicted team out of a file. Every access, edit and share is written to an audit trail, and client documents move through an encrypted portal rather than ordinary email. We build with the Cayman Islands Data Protection Act and professional confidentiality obligations in mind, and we never use client data for anything beyond the firm’s own system.

03

Can the system handle legal time recording, billing and trust accounting?

Yes. Fee earners record time against the matter in six-minute units by timer or quick entry, and bills draft from that time and the matter disbursements, in KYD or USD, using each client’s agreed rate and narrative. Client money is tracked separately from firm money with a full history, so client-account reconciliations are a report you run rather than a manual exercise at month-end.

04

Can you replace the patchwork of tools our firm uses now?

Usually, yes, and in phases rather than one risky switch. We map what you run today, your accounting package, spreadsheets, document folders and email, then migrate matters, contacts and documents into one system and run the old and new side by side until the firm is confident. Where a tool genuinely works, such as an accounting system or a payment processor, we integrate with it through secure, verified connections instead of forcing a rip-and-replace.

05

Is custom legal software realistic for a small or boutique Cayman firm?

Often, yes. We scope to the firm you are, not the one down the street. A focused system covering matters, intake, time and billing for a two or three lawyer practice is a very different project from a multi-office build, and we deliver in stages so cost and value arrive together. You own the source code and the data outright, so the firm is never locked into a per-seat licence that grows every year.

06

How long does a legal software build take, and what happens after?

A focused matter, intake and billing system typically runs eight to sixteen weeks; larger builds with portals, trust accounting and deep integrations take longer, and we work in defined phases so you test working software at each milestone. After launch we host the system on-island and provide ongoing support: security patching, backups, monitoring and refinements as the firm grows, through hurricane season and the busy conveyancing periods when the system has to stay up.
