Spa and Wellness Software in the Cayman Islands

Software that keeps every treatment room booked and billed.

Let’s talk
Scroll
In short

Aerosoft builds spa and wellness software for Cayman Islands spas, salons, med-spas and resort wellness centres. That covers online booking across therapists and rooms, a spa POS that rings up a treatment and the retail that follows in one sale, memberships, packages and gift cards, client intake and records, and the day-end numbers an owner reads before locking up.

  • Online booking and scheduling across therapists and rooms
  • Spa POS for treatments, retail and gratuity in one sale
  • Memberships, prepaid packages and gift cards
  • Client records, intake forms and automated reminders

The schedule is the whole business.

Ask any spa owner or manager in the Cayman Islands where the money actually leaks, and it is rarely the treatments. It is the gap at 2pm that never got filled, the guest from a Seven Mile Beach resort who booked a couples massage and never showed, the gift card bought at Christmas that no one can find a record of, and the therapist standing idle while two guests wait at the desk to pay. The service is the easy part. Keeping the day full, billed and reconciled is the work.

Most spa software was built for a chain in another country, with pricing, tax and tipping rules that do not match how a Cayman spa runs. You end up with a booking page that will not take a deposit, a till that cannot split a payment between a gift card and a card in USD, and a membership you track on a spreadsheet. The tool technically works, and quietly costs you a filled room every single day.

Aerosoft builds spa and wellness systems the other way round. We start with your treatment menu, your therapists and their hours, your rooms, your resort and walk-in mix, and the way you actually take payment, then shape the software to fit. The goal is plain and countable: fewer empty slots, faster checkout, and numbers at close that you can trust.

What we build

Systems for every part of the spa.

01

Online booking and scheduling

A booking page that shows real availability by treatment, therapist and room, takes a deposit or a card on file at the time of booking, and drops straight into the front-desk diary. Guests book from their phone at midnight, the resort concierge books on their behalf, and walk-ins get slotted without a double-booking. Every slot can only be sold once, across every channel.

02

Spa POS

A till built for a spa, not a shop. Ring up a treatment, add the retail products the guest takes home, record the therapist gratuity, and split the payment across a gift card, a card and cash in one sale. It handles KYD and USD, applies member pricing automatically, prints or emails the receipt, and posts the sale to the day-end report the moment it closes.

03

Memberships, packages and gift cards

Sell a monthly membership, a prepaid series of treatments or a gift card, and the system tracks every balance and redemption on its own. Members get their rate recognised at checkout, packages count down as they are used, and gift cards sold at the desk or online stay live until the last dollar is spent. Recurring membership billing runs automatically each month.

04

Client records and intake forms

Each guest has a record with their history, preferences, allergies, products bought and treatments taken. Intake and consultation forms are completed online before the guest arrives or on a tablet at the door, so the therapist reads a clean, signed form instead of chasing a clipboard. Health notes, contraindications and signatures are stored against the visit, not loose on paper.

05

Payments, deposits and no-show protection

Take a deposit or hold a card at the time of booking, charge an agreed fee against a late cancellation or no-show, and settle the balance at the till. Guests pay in KYD or USD, by card, gift card or account, and every payment reconciles against the booking and the day-end total. The deposit alone recovers a large share of the slots that used to vanish.

06

Reminders, rebooking and marketing

Automated confirmations and reminders by email and text cut no-shows without the front desk making a single call. After a visit the system invites the guest to rebook, asks for a review, and keeps in touch with offers for quiet weeks and the slow season. Resort guests, residents and repeat regulars each get messages that fit how often they actually come in.

Why a Cayman spa is different

A spa runs on trust, timing and repeat visits.

A dropped booking in most businesses is an annoyance. In a spa it is a guest standing at the desk while a therapist waits, a review that mentions it, and a regular who books somewhere else next time. That is why we build around the things a spa actually lives on.

  • 01
Built for the resort and local mix. Seven Mile Beach resort guests, cruise-day walk-ins and local regulars book and pay in different ways, and the system handles all three without a separate workaround for each.
  • 02
KYD and USD, done right. Pricing, tax, tipping and split payments follow how money actually moves in the Cayman Islands, so the till and the day-end report always agree.
  • 03
Private by default. Intake forms, health notes and client history are held with access controls and audit trails, because a spa keeps details a guest expects to stay private.
  • 04
Owned and supported here. The system is built, hosted and supported from Grand Cayman, so a question on a busy Saturday reaches someone who knows your setup, not an overseas queue.
Spa and wellness software in the Cayman Islands

What changes when the software finally fits.

When a spa system is built around the treatment room rather than imposed on it, the change shows up everywhere. The front desk stops being a bottleneck, because guests arrive with their intake forms already signed and their deposit already taken. Checkout stops being a queue, because a treatment, the retail that follows and the gratuity ring up in one sale. The schedule stays full, because reminders go out on their own and the waitlist fills the gaps a cancellation leaves.

It also changes what the owner can see. Paper and spreadsheets hide the patterns that matter, which therapists are booked solid and which have gaps, how much of the week comes from resort guests versus locals, which treatments and products actually sell, and how much gift card and package money is still owed in service. A connected system puts all of it on one screen you can act on before the slow season arrives.

And it changes how the spa grows. Adding a therapist, opening a second location, launching a membership or taking online bookings from a new resort partner stops being a technology problem. The system was built to extend, documented so any competent developer can maintain it, and owned by you, so your spa is never held back by a per-seat licence or a vendor who has moved on.

Frequently asked questions

What Cayman spa owners ask us.

01

What spa and wellness software does Aerosoft build in the Cayman Islands?

We build online booking and scheduling, spa point of sale, membership and package management, gift card systems, client records with digital intake and consultation forms, automated reminders and marketing tools. Each system is built for how a Cayman spa, salon, med-spa or resort wellness centre actually runs, including the resort and local guest mix and payment in KYD and USD.

02

Can you build an online booking system that takes a deposit?

Yes. Online booking is the most common spa project we deliver. Guests see real availability by treatment, therapist and room, book from any device, and leave a deposit or a card on file at the time of booking. The appointment drops straight into the front-desk diary, and deposits plus clear cancellation windows recover most of the revenue lost to no-shows.

03

Does the spa POS handle treatments, retail, gratuity and both currencies?

Yes. The point of sale rings up a treatment, the retail products a guest takes home and the therapist gratuity in a single sale, and splits payment across a gift card, a card and cash. It handles KYD and USD, applies member pricing automatically, and posts every sale to the day-end report so the till and the numbers always agree.

04

Can you track memberships, packages and gift cards?

Yes. The system sells and tracks monthly memberships, prepaid treatment series and gift cards, keeping every balance and redemption live. Members get their rate at checkout, packages count down as they are used, and gift cards sold at the desk or online stay valid until spent. Recurring membership billing runs automatically each month.

05

How do digital intake and consultation forms work?

Guests complete intake and consultation forms online before they arrive or on a tablet at the door. The signed form, including health notes and contraindications, is stored against the guest record and the specific visit, so the therapist reads a clean form instead of chasing paper. Client records are held with access controls because a spa handles details a guest expects to stay private.

06

Do you provide ongoing hosting and support after launch?

Yes. We host and support every spa system we build, covering security updates, backups, monitoring and access to our team for fixes and changes. Because the system is built, hosted and supported from Grand Cayman, a question on a busy Saturday reaches someone who knows your setup. Most spas run on a monthly plan that covers the POS, hosting and support together.
